As a Lease Administration Analyst, you’ll act as a strategic connector across Real Estate, Finance, and Operations. You’ll transform complex lease agreements into reliable, decision-ready insights, ensure the accuracy of billed charges (operating costs, taxes, and percentage rent), and orchestrate landlord follow-ups with accountability. You’ll surface discrepancies, identify rent-reduction opportunities, and actively contribute to portfolio cost optimization.
You’ll also play a key role in lease accounting (IFRS 16), reconciliations, and strategic reporting.
Tasks and responsability:
Lease Interpretation & Database Management — Read and interpret leases and related documents; identify critical information and action dates, and maintain accurate lease administration records relied upon by Real Estate, Finance, and Operations.
Rent Charge Analysis — Analyze and validate rent charges, including operating costs (CAM, HVAC, electricity) and tax invoices (realty and school tax); resolve discrepancies and negotiate billing amendments to ensure lease compliance.
Rent Reduction Monitoring — Identify and action rent-limiting opportunities (vacancy, sales performance, rent-free periods, applicable maximums) for the authorized period.
Landlord Invoicing & Recovery — Prepare and track landlord invoices for tenant inducements, chargebacks, and liquidated damage claims; expedite recovery of allowances per lease terms.
Percentage Rent — Calculate percentage rent per lease terms; coordinate annual sales certification with auditors, respond to landlord inquiries, and report certified sales.
Lease Accounting Support (IFRS 16) — Maintain IFRS 16 lease data and accruals; prepare journal entries (percentage rent, prepaid rent, reclasses), perform cross-system validations, and reconcile GL balances.
Reporting & Analysis — Contribute to monthly/quarterly reporting and generate ad-hoc reports (database tools and/or Excel) supporting rent rolls, renewals, and termination rights.
